The Time Tracker is a system that enables organizations, teams, and individuals to track time and monitor work-related activities. Each organization, team, or individual operates within a distinct workspace.

A workspace is a dedicated environment for:

  • Tracking time spent on projects and tasks
  • Monitoring productivity and activity levels
  • Generating detailed time and activity reports
  • Managing user access securely through defined roles and permissions

Data access within the workspace is structured based on user roles to ensure that each member can only access the data necessary for their responsibilities. The roles include the following:

  • Team Manager: Can access data related to their assigned teams, including project data and employee performance metrics for team members they oversee.
  • Project Manager: Can access their own data and project data for projects they manage.
  • Employee: Can access only their own data.
    • Owner and Executive Manager: Have access to all workspace data.
  • Project Viewer: Can access data for assigned projects in a read-only mode.

Workspace data includes, but is not limited to:

  • Productivity reports
  • Attendance reports
  • Activity level reports
  • Activity description reports
  • Screenshots of the device screen (if enabled)
  • Information about projects and tasks
  • Tracked time on projects and tasks
  • Real-time reports
  • Timesheet reports
  • Detailed reports on accessed applications and websites
  • Other information and reports used for employee monitoring, time tracking, and project management.

This structured approach ensures secure and efficient handling of data within the workspace.

Third-Party Tools and Data Sharing

To ensure the functionality and reliability of the Time Tracker, third-party tools are used for various purposes, including data storage, analysis, and communication. These tools are integrated into the system to support its operations while maintaining strict data security and compliance standards.

Data Handling by Third Parties

  • Storage and Processing: Data collected through the Time Tracker is securely stored on third-party cloud servers, including Amazon S3 and Contabo, ensuring reliability and accessibility.
  • Communication and Notifications: Third-party email and live chat tools are used to facilitate communication with users and provide support.
  • Payments:Payment processing is handled by licensed electronic payment service providers, which securely manage credit card and transaction data. This information is not stored on the Time Tracker’s servers.
  • Analytics and Tag Management: Third-party tools are used to collect and analyze aggregated data about system usage, such as user interactions and traffic patterns. This data helps us improve the system by understanding usage trends and ensuring optimal functionality.

Access Limitations

Third-party service providers are granted access to your data only to the extent necessary to perform their specific functions. Many services do not have direct access to your data, as it is either restricted or encrypted to ensure its security.
